Why phone calls in German are so difficult

On the phone, you lose body language. You can’t lip-read, can’t interpret gestures – you rely completely on your listening comprehension. On top of that: Germans often speak faster on the phone than in person.

The most important phrases for phone calls

Answering the phone

  • „Guten Tag, hier spricht [Name] von [Firma].“
  • „[Firmenname], [Vorname Nachname], was kann ich für Sie tun?“
  • „Ja, hallo, [Nachname] am Apparat.“

Stating the reason for calling

  • „Ich rufe an wegen...“
  • „Es geht um Folgendes:...“
  • „Ich hätte eine Frage bezüglich...“

Asking for clarification

  • „Könnten Sie das bitte wiederholen?“
  • „Würden Sie bitte etwas langsamer sprechen?“
  • „Habe ich Sie richtig verstanden, dass...?“
  • „Können Sie mir das bitte per E-Mail schicken?“

Transferring and forwarding

  • „Ich verbinde Sie mit Herrn/Frau...“
  • „Einen Moment bitte, ich stelle Sie durch.“
  • „Leider ist Frau X gerade nicht erreichbar. Kann ich etwas ausrichten?“

Quick Tip

Before any important call, prepare bullet points: Who are you calling? Why? What’s your goal? What technical terms might come up? These 2 minutes of preparation make an enormous difference.

Video calls: the specifics

Technical phrases

  • „Können Sie mich hören?“
  • „Mein Mikrofon war stumm geschaltet, Entschuldigung.“
  • „Ich teile jetzt meinen Bildschirm.“
  • „Sehen Sie meine Präsentation?“

Looking more professional in video calls

  1. Camera on: In the DACH region, having your camera on is expected.
  2. Tidy background: A neutral background looks more professional.
  3. Look into the camera: Look at the camera lens, not the screen – this simulates eye contact.

Common mistakes to avoid

  • „Hallo?“ as a greeting: Too informal. Always answer with your name.
  • Too long pauses: They feel uncomfortable on the phone. Say „Einen Moment, ich überlege kurz...“
  • Forgetting to say goodbye: „Vielen Dank für das Gespräch. Auf Wiedenhören!“

The KLARER phone strategy

  1. Prepare: Bullet points, technical vocabulary, goal noted
  2. Opening: Professional greeting with name and company
  3. Core: Communicate clearly and in a structured way
  4. Summary: „Lassen Sie mich kurz zusammenfassen...“
  5. Close: Name next steps and say goodbye warmly

Conclusion

Phone calls in German become routine with practice and the right phrases. The key: preparation and clear structure. At KLARER.Academy, we train phone calls and video calls through practical role-play scenarios.
